It's 9pm on Sunday and you have six notes to write.
You remember every session. But a note isn't finished when the writing is. It still has to be labeled, filed somewhere you'll actually find it years from now, and safe if something happens to the drawer or the laptop it lives in. That's what turns six notes into a whole evening.
You get that evening back. You hold a key and talk, then read the note and sign it. The naming, the filing, and the backup happen on their own.

Based on a survey of 499 therapists by Barbara Griswold, LMFT: about eight minutes a note, which works out to roughly 2½ hours a week at 18 sessions. The second figure is our estimate for the same caseload — about two minutes a note to talk it through, read it and sign — not a measurement.
How it works
Hold a key and talk
Hold your chosen key — Right Option by default — until it chirps, then let go and debrief the way you'd tell your consultation group. Tap the same key to stop. It works wherever you are, so you don't have to leave your calendar or open the app first. macOS asks your permission once before an app can watch for a key like that; NoAdmin Notes offers it on first launch, and until you say yes you can start a debrief from its window instead.
Pause as long as you like
Stop mid-sentence to think. Silence produces nothing — the app doesn't invent words to fill a gap, so there's no penalty for trailing off and picking the thought back up.
It writes the note and knows whose it is
Your debrief becomes a note in your format — Narrative, DAP, or SOAP. It also picks the client name or alias out of what you said, so the note is labeled without you typing anything.
Review, sign, and it's filed
Read it beside your transcript, fix anything, then sign. It's timestamped, locked, and filed in your encrypted records vault — no file to name, no folder to choose, no “did that sync?”

Nothing gets overwritten
Syncing adds; it never replaces. Notes written on different devices join together, so each one ends up holding the same complete set — which is what makes a second device a real backup rather than a copy that might be behind.
Still yours, still encrypted
Each device keeps its own encryption and its key never leaves it. Only finished, signed notes are shared — a draft you haven't signed stays on the device where you wrote it.

We can't leak what we don't hold.
That's built into the technical architecture rather than relying on a privacy policy. Your notes are written and stored on your own device, and we never receive them.
On your device, always
Transcription and formatting run locally with Apple's on-device models. Once your device has fetched those models the first time, you can disconnect from the internet and it still works.
The audio is deleted
Your debrief is transcribed, then the recording is erased. There's no archive of your voice, on your machine or anywhere else.
Your client is never recorded
You're debriefing after the session, alone. The app never listens to a session, so client audio simply never exists.
Encrypted, in your custody
Notes are AES-256 encrypted on the device that wrote them, with the key held in that device's Keychain. Nothing is uploaded to us, and you can sync to a second device for an independent copy. On a Mac, a full Time Machine restore or Migration Assistant carries the notes and the key together to a new machine. The records live only on your devices, so their safety rests on your own device security, not on a company holding them.
Synced device-to-device
When you sync two of your devices, they connect directly and merge notes between themselves — nothing routes through our servers or any cloud, not even in transit. Each device re-encrypts with its own key on arrival.
A copy that outlives us
Export every signed note — with its amendments, revisions and audit trail — as plain-text data any program can read, then import it back. It doesn't need your encryption key, a recovery phrase, or NoAdmin to still exist. The app reopens and checks each archive before it counts as a backup. It isn't encrypted, so where you keep it is your call.
It never invents a clinical fact.
NoAdmin Notes reorganizes what you said. It does not write clinical judgment.
- Anything the assistant wrote that isn't grounded in your own words is highlighted, and you must accept or delete it before the note can be signed.
- If your format requires something you didn't cover — risk, for instance — it asks you a question. It never writes a plausible sentence to fill the gap.
- Every line in the record knows whether it came from you or from the assistant, and the audit trail keeps that distinction.
You are always the author.

Signing timestamps the note, hashes its contents, and freezes it. Nothing can quietly change afterward.
Corrections are append-only addenda, never silent edits — the record shows what changed and when, which is what a licensing board expects to see.

Questions
Do I need a BAA from you?
No — there's nothing for one to cover. A business associate agreement governs a vendor that handles your clients' information. Your notes are created and stored on your device, encrypted at rest, so we never hold readable records. Nothing to sign, nothing to chase.
I already use TheraNest, SimplePractice, or another EHR. Do I have to switch?
No — and don't retype anything into it. Keep your EHR for scheduling, billing, and claims, and write your notes here. When you sign a note, export it as a PDF and drop it into that client's chart; every major system takes document uploads, so it's one drag per note rather than pasting into a dozen separate fields.
Does it record my client?
No. NoAdmin Notes records you, after the session, debriefing on your own. Client audio never exists — and even your own recording is deleted as soon as it's transcribed.
Does anything go to the cloud?
No. NoAdmin never sends your notes to us, and never uploads them anywhere on its own. Transcription and formatting run on-device with Apple's models (your device fetches those from Apple once, on first use), and when you sync two of your devices they connect straight to each other, with nothing in between. If you export a PDF or an archive yourself, where that file goes is your choice — including cloud storage you control.
Can I use it on my iPhone or iPad?
Yes, on its own. It's on the App Store, free, and does the whole job there — debrief after a session, review the note, sign it, and it's filed on that device. You don't need a Mac. If you do use more than one device, pair them once and a single tap copies signed notes between them, directly, with no account and no cloud. It needs iOS or iPadOS 26.
What if my laptop is stolen or dies?
Recoverable — if you kept a copy, and there are three. A synced device holds every signed note as of its last sync. A Time Machine restore or Migration Assistant moves your notes to a new Mac, key included (copying the notes folder alone won't — those files are encrypted). And a portable archive of every signed note restores from a file you keep anywhere.
What about HIPAA?
Your records stay on your device, encrypted at rest, and we never receive readable copies — so there's no third party holding your clients' information. You remain the custodian, which means your device security (FileVault, a strong login) is part of the picture.
What if I pause, or ramble?
Both are fine. Silence produces nothing to transcribe, so you can stop and think without the app inventing filler. Rambling is fine too — it keeps what you said and organizes it; it just never adds what you didn't.
Why is it free?
Because something genuinely useful — the kind of tool you'd pass along to a colleague in your consultation group — is worth more to us than a monthly fee. We'd rather give you that value than bill you for it. Writing notes stays free for good; NoAdmin, our calendar-based invoicing for therapists, is the part we charge for and what funds Notes. Paying for it is always optional — Notes stays free and complete on its own.
Can I get my notes back out?
They're already yours — on your own disk, not in someone's cloud. Export any client's full history as a PDF, or as an editable document you can work from in Word or Pages. And you can export a portable archive of every signed note — amendments and audit trail included — as plain-text data any program can read. That's the one that matters if you leave: a backup you can restore from, not just a document. Leaving should always be as easy as arriving.
